Consider the words and phrases on our computers that we repeatedly input without thinking about it. Email addresses and site logins are just a handful of the often entered fields, but there are many more. What if we told you there’s a handy shortcut on macOS that allows you to automatically type repeated words? It’s a function called text replacements, which is also available for iPhones and iPads.
Add text replacements on Mac
When you upload new text replacements to your Mac, they may also be used on your iPhone or iPad. Simply login in with the same Apple ID to sync the material.
Step 1: Launch System Preferences by selecting the icon in your Dock or the Apple symbol in the Menu bar.
Step 2: Select the keyboard.
Step 3: Navigate to the text tab. If you’re connected with your iPhone or iPad, you may see shortcuts you’ve created.
Step 4: To add a replacement, click the Plus symbol in the bottom left.
Step 5: In the open box, type the shortcut you wish to use to replace the text.
Step 6: Press the Tab key, then type the text you want shown when you use the shortcut.
Step 7: Hit the Return key to save the text substitution.
By default, your replacements are arranged alphabetically based on the shortcut.
Use text replacements on Mac
When you wish to employ a text replacement, open your document, text message, email, note, or other file.
Step 1: Move your mouse to the desired text string and input the shortcut.
Step 2: A replacement text pop-up box should appear underneath the shortcut.
Step 3: Select the text, then hit Return or the Space bar to replace the shortcut with the text.
Step 4: If you do not wish to replace the shortcut with the string of text for any reason, click the X on the right side of the little pop-up window.
Edit or remove text replacements
You may edit current text replacements or delete those you don’t need.
Step 1: Open System Preferences > Keyboard and choose the Text tab.
Step 2: To change a replacement, select it and type the new shortcut or text you wish to show. Then hit the Return key.
Step 3: To delete a replacement, choose it from the list and click the Minus symbol on the bottom left.
